Lift Portfolio Management Pty Ltd ABN 55 699 041 391 (LPM, we, us, our) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, store and protect personal information in connection with the LPM platform available at liftportfoliomanagement.com.au (the Platform).

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in Schedule 1 of that Act.

1.2 How We Collect Personal Information

We collect personal information directly from you when you register for an account, use the Platform, upload content, communicate with us, subscribe to services, or otherwise interact with the Platform.

We may also collect information automatically through cookies, analytics tools, device and usage data, and from third-party service providers or integrations that you authorise.

2. What is covered by this Policy

This Privacy Policy applies to your use of the Platform.

The Platform may contain links to other websites. Please note that we have no control over how your data is collected, stored, or used by other websites and we advise you to check the privacy policies of any such websites before providing any data to them.

Information collected

Account information: When you register, we collect your name, email address, and the name of your organisation (including organisation details such as ABN, phone number, contact email, and address, if you choose to provide them in your organisation settings).

If you sign in with Google, we receive your name and email from Google.

Billing information: Payment details are processed by our payment provider. We only store your customer identifier, subscription plan, and subscription status. Please note: we do not store your card details.

User Content: Refers to any information, material or content that you upload to the Platform, in particular, documents such as lift contracts, maintenance invoices, inspection reports and service records. These may contain personal information about contractors, technicians, and other individuals.

Usage data: We may collect information when you access the Platform, about how you interact and use it, including: pages visited, features used, time spent on pages, actions taken and other diagnostic data. This assists us in improving our services.

Waitlist information: If you join our waitlist, we collect your name, email address, your business or organisation name, and, optionally, your phone number.

3. How We Use Your Information

We use your personal information to:

  • provide, maintain, and improve the services to you;
  • process payments and manage your subscription;
  • authenticate your identity and maintain account security;
  • process documents you upload to extract structured data;
  • send transactional emails such as account confirmation, payment receipts and subscription notices;
  • send product updates and announcements, from which you may opt out at any time;
  • respond to your support requests; and
  • comply with our legal obligations, and protect our legitimate business interests and legal rights, including enforcing our terms, preventing misuse of the Platform, managing disputes, and responding to legal or regulatory requirements.

Any marketing messages we send will identify LPM as the sender and include a means to unsubscribe.

We do not:

  • sell your personal information to third parties; or
  • use your User Content to train machine-learning models.

4. Document Processing

Documents you upload may be administered by third-party processing providers for the purpose of extracting structured data (such as contract terms, invoice amounts, and defect descriptions). This processing occurs solely to provide the Platform's features to you. These providers maintain their own privacy policies and security practices. We take reasonable steps to engage providers that maintain appropriate privacy and security standards and to protect personal information disclosed to them. Where the Platform contains links to third-party websites, we are not responsible for the privacy practices, policies, or content of those websites.

We generally limit information with processing providers to document content and related information reasonably necessary to provide the relevant functionality.

The Platform uses automated and AI-assisted processing to analyse uploaded documents and produce outputs such as extracted data and risk indicators.

5. Third-Party Providers

5.1 Service Providers we engage

We engage trusted third-party service providers to assist us in operating, maintaining, securing, and improving the Platform. Where these providers process personal information on our behalf, we take reasonable steps to engage providers that maintain appropriate privacy and security standards and to ensure personal information is handled in a manner consistent with applicable privacy obligations.

5.2 Categories of Services Provided

We only disclose personal information to third-party providers to the extent reasonably necessary for them to provide services to us. Depending on the services used, this may include:

  • authentication and user account management (such as name, email address, and login information);
  • payment processing and management of payment methods;
  • file storage for documents uploaded to the Platform;
  • document processing and data extraction services;
  • cloud database hosting for account and portfolio information; and
  • cloud infrastructure and application hosting.

Further information about the categories of service providers we use and the locations in which personal information may be processed is set out in clause 6.

5.3 Document Processing and Artificial Intelligence Providers

Where we engage third-party document processing or artificial intelligence service providers, we seek to engage providers whose contractual terms prohibit, or are intended to prohibit, the use of customer content for model training or service improvement purposes without authorisation, where such controls are available and appropriate.

Third-party providers maintain their own privacy policies and may process personal information in accordance with their own legal, regulatory, and contractual obligations. Where providers process personal information on our behalf, we take reasonable steps to ensure appropriate privacy and security standards are maintained.

5.4 Third-Party Websites and Services

Where the Platform contains links to third-party websites or services, those websites and services operate independently from us. We are not responsible for the privacy practices, content, or security of third-party websites or services that are not under our control.

5.5 Document Extraction and Automated Outputs

Outputs produced by document extraction, automated processing, or artificial intelligence features are provided for informational purposes only and do not constitute professional advice. Users remain responsible for reviewing and verifying the accuracy, completeness, and suitability of any extracted or generated information.

6. Data Storage and Security

Your data is stored on servers located in Australia and/or overseas, depending on the service provider. The processing locations of our current providers are set out in the table below. Where personal information is disclosed to an overseas recipient, we take reasonable steps to ensure the recipient handles it in a manner consistent with the APPs.

We take reasonable technical and organisational measures to protect your data from unauthorised access, disclosure, alteration, or destruction. Despite our best efforts, no method of internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

In the event of a data breach that is likely to result in serious harm to individuals, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

6.1 Overseas Disclosure

Where personal information is disclosed to overseas service providers, including for the purposes of data storage, processing, or the delivery of platform functionality, the information may be stored or processed outside Australia, including in the United States. We take reasonable steps to ensure providers protect personal information consistent with applicable privacy obligations.

7. Data Retention

We retain your account and portfolio data for as long as your Account is active.

We retain your data for 30 days following cancellation to allow for account recovery, after which it may be deleted or de-identified within a reasonable period, except where longer retention is required by law, backup processes, security requirements, dispute resolution, or legitimate operational purposes.

Waitlist information is retained until you request deletion or de-identification where applicable and subject to legal and operational requirements.

We may retain certain records for longer periods where required by law (for example, financial records for tax purposes), but information is only retained as long as necessary and is then securely deleted or de-identified.

8. Your Access and Correction Rights

Under the Australian Privacy Principles, you have the right to contact us at privacy@liftportfoliomanagement.com.au to:

  • access the personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of your personal information (subject to our legal obligations);
  • opt out of marketing communications at any time; and
  • make a complaint if you believe we have breached the Privacy Act.

We will respond within 30 days.

We may refuse a request for access where doing so would:

  • unreasonably impact the privacy of another individual;
  • reveal confidential commercial information;
  • prejudice the prevention, detection, investigation, or prosecution of unlawful activity or serious misconduct;
  • be unlawful; or
  • fall within an exception or exemption under applicable law.

If we refuse access, we will provide written reasons for the refusal unless we are not required to do so by law.

If you are not satisfied with our response to a privacy complaint, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

9. Cookies and Tracking

The Platform uses cookies and similar technologies to maintain your session, remember your preferences, understand how the Platform is used, and improve the performance and functionality of our services.

We use analytics tools, including Google Analytics, to collect information about how users interact with the Platform. This may include information such as pages visited, time spent on the Platform, browser type, device information, and general location data derived from IP addresses. This information helps us analyse usage trends, improve the Platform, and enhance the user experience.

Some cookies are essential for the operation of the Platform and cannot be disabled. Analytics cookies are used only in accordance with applicable privacy laws and any consent requirements that apply.
